This Privacy Policy explains how ServiceHelper, LLC ("ServiceHelper," "we," "us," or "our") collects, uses, discloses, and protects information when you use our mobile application, website at https://servicehelper.ai, and related services (collectively, the "Services").
ServiceHelper is a U.S.-based B2B SaaS platform that helps small service businesses (such as plumbers, landscapers, HVAC technicians, and aestheticians) manage customer relationships through automated outreach, follow-ups, calendar synchronization, and AI-assisted messaging.

1. Who This Privacy Policy Covers — The Two-Layer Data Structure
ServiceHelper processes two distinct categories of personal information, and it is important to understand the difference:
Category 1 — Contractors (Users)
Service professionals who register for and use the ServiceHelper platform. This Privacy Policy governs how we collect and use your personal information as a registered User.
Category 2 — End Contacts (Your Customers)
The customers of Contractors whose contact information is uploaded, imported, or otherwise processed through the Services. End Contacts have not directly agreed to this Privacy Policy and have no direct relationship with ServiceHelper.
ServiceHelper acts as a data processor with respect to End Contact information. The Contractor who uploaded or imported that data is the data controller and is solely responsible for ensuring they have a lawful basis for processing End Contact information, for providing required disclosures to those individuals, and for honoring any privacy rights those individuals exercise.
If you are an End Contact of a ServiceHelper Contractor and wish to exercise privacy rights (such as access, correction, deletion, or opt-out), please contact the Contractor directly. ServiceHelper will cooperate with Contractors in honoring verified and documented privacy requests within thirty (30) days of receiving a confirmed request from the Contractor.

- We collect Contractor account data, contact data uploaded by Contractors, voicemail audio and transcripts, message content, and usage and device data.
- We do not sell your personal information or End Contact information to third parties.
- We do not use your message content, End Contact data, or voicemail transcripts to train AI models. Anonymized usage data (such as feature adoption metrics) may be used to improve the platform.
- Voicemail audio and transcripts are generated for your convenience only and are not verbatim records.
- We share data with service providers (such as Twilio and AI model providers) solely to operate the platform.
- You have rights to access, correct, and delete your personal information. See Section 11.

- Email providers: message headers, metadata, and content you choose to sync or manage through the Services
- Calendar providers: events, availability, attendees, and scheduling data
- QuickBooks: business and customer contact information needed to support contact syncing
- SMS and messaging providers: phone numbers, message content, delivery status, timestamps
- Device and technical data: device ID, model, operating system, app version, IP address, browser type
- Usage and log data: feature usage, screens viewed, actions taken, timestamps, crash reports, diagnostics
- Approximate location derived from IP address; precise location only if you explicitly grant device permission
- Provide, operate, and maintain the Services and related features
- Create and manage Contractor accounts and authenticate users
- Generate AI-assisted message drafts personalized to your business and customers
- Deliver voicemail capture, transcription, and CRM functionality
- Send service-related communications (confirmations, security notices, product updates)
- Process opt-outs and STOP requests on your behalf
- Provide customer support and respond to inquiries
- Analyze anonymized and aggregated product usage to improve features
- Monitor, prevent, and investigate fraud, abuse, and security incidents
- Comply with legal obligations and enforce our Terms of Use
- Maintain security and core platform functionality
- Remember your preferences and settings
- Analyze product usage and improve performance
- Measure the effectiveness of our marketing communications
- Telecommunications providers (such as Twilio) for SMS delivery, call routing, and voicemail capture
- AI model providers for message generation and voicemail transcription

- Integration partners (email, calendar, and accounting providers)
- We do not sell your personal information or End Contact information to third parties.
- We do not share End Contact information with third parties for their own marketing purposes.
- Mobile opt-in and SMS consent information is never shared with third parties for their own marketing.
- End Contact data: deleted within thirty (30) days after account termination, unless you request earlier deletion or applicable law requires longer retention.
- Voicemail audio recordings: automatically deleted after sixty (60) days.
- Voicemail transcripts: retained for the duration of your account and deleted upon termination.
- Sent message records: retained for twelve (12) months for dispute resolution and compliance purposes, then deleted.
- Contractor account data: retained for ninety (90) days after account termination, then deleted, except as required by applicable law.

We process AI-generated message drafts, messages you approve and send, and sent message records. Sent message records are retained for twelve (12) months for dispute resolution and compliance purposes, then deleted.

ServiceHelper offers AI-powered features including message drafting, text analysis, and workflow automation.
AI Training Policy: ServiceHelper does not use your message content, End Contact data, or voicemail transcripts to train AI models. Anonymized usage data — such as feature adoption rates and approval rates — may be used to improve the platform and its AI systems. We will provide at least thirty (30) days' advance notice before making any material change to this policy, and any expansion of AI training to include content or contact data would require your explicit opt-in consent.
Your inputs and AI-generated outputs are processed by third-party AI model providers under contract with ServiceHelper. These providers are required to process data only as instructed and to maintain appropriate security measures.

In the event of a data breach affecting your account, ServiceHelper will notify you without undue delay and in accordance with applicable law. You are responsible for notifying your own customers as required by applicable state breach notification laws. ServiceHelper is not liable for data breaches caused by your failure to maintain the security of your account credentials.
No system can be guaranteed completely secure. You are responsible for maintaining the security of your account credentials.

11. Your Privacy Rights
A. Rights of Contractors (Users)
Depending on your jurisdiction, you may have the right to:
To exercise your rights, contact privacy@servicehelper.ai. We may verify your identity before fulfilling requests. We will respond to verified requests within forty-five (45) days, with an extension of up to an additional forty-five (45) days where necessary.
B. Rights of End Contacts
If you are an End Contact (a customer of a ServiceHelper Contractor) and wish to exercise privacy rights, please contact the Contractor directly. ServiceHelper will cooperate with Contractors in honoring verified deletion or access requests within thirty (30) days of receiving a confirmed request.
ServiceHelper does not sell personal information as that term is defined under California law or the laws of other applicable states.
C. California Residents (CCPA/CPRA)
If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know, delete, correct, and opt out of the sale or sharing of your personal information. Because ServiceHelper processes End Contact data on behalf of Contractors as a data processor, we direct privacy rights requests from End Contacts to the relevant Contractor. Contractors who are California residents may exercise their rights directly with ServiceHelper at privacy@servicehelper.ai.
D. Other State Privacy Rights
Residents of Virginia (VCDPA), Colorado (CPA), Connecticut, Texas, and other states with comprehensive privacy laws have similar rights. Contractors in these states may contact privacy@servicehelper.ai to exercise their rights. End Contacts should contact their Contractor.
E. Opt-Out of Marketing
You may opt out of marketing communications using unsubscribe links in emails or by following instructions provided in SMS messages. Opting out of marketing does not affect service-related communications.
12. Third-Party Websites and Services
The Services may link to or integrate with third-party websites or services. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies.
13. Children's Privacy
The Services are not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13. If we learn that such information has been collected, we will take steps to delete it promptly.
14. International Users
We operate from the United States. If you access the Services from outside the U.S., your information may be transferred to and processed in the United States. We take reasonable steps to ensure such transfers comply with applicable law.
15. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the "Last Updated" date and provide notice of material changes via email or in-app notice at least thirty (30) days before they take effect. Continued use of the Services after the effective date constitutes acceptance of the revised policy. We will not retroactively change how we use data previously collected without providing notice and, where required, obtaining consent.

If you use ServiceHelper to process personal data on behalf of others (such as your customers), you may request a Data Processing Addendum (DPA) by contacting privacy@servicehelper.ai. The DPA governs ServiceHelper's obligations as a data processor and is available upon request.
